Frequently Asked Questions

How far in advance should I book a ride?

We recommend booking your transfer or hourly hire service at least 72 hours in advance. If you don’t have that much time, you can request an urgent transfer — we’ll let you know as soon as possible whether we can confirm it.

What pick-up time should I specify for the transfer?

If your transfer starts from an airport or railway station, please specify your flight or train arrival time as the start of your transfer. This helps the driver organize the meeting more accurately.

If your transfer starts from a hotel to an airport, please indicate the time you wish to be picked up at reception. You’ll need to calculate it yourself, allowing extra time for check-in. We recommend adding about 3 hours before your flight’s departure. For example, if your flight leaves at 14:00 and the trip takes 1 hour, your pick-up time should be 10:00.

How do I know if my order has been accepted?

After submitting your booking, you’ll receive an email with all trip details and your order status as “Waiting”. Once we receive and confirm your payment, the status will change to “Accepted”, and you’ll receive another email confirmation.

If you don’t receive the confirmation email, please contact our support team at office@welcome.taxi.

How do I change my booking?

To make changes to your booking, please contact our support team at office@welcome.taxi.

Important note: Requests for changes made less than 72 hours before your trip may be declined.

How can I cancel my booking?

You can cancel your booking in two ways:

  1. Via the booking page on our website — use the cancellation number provided in your booking voucher, at least 72 hours before the trip.
  2. By contacting our support team if it’s less than 72 hours before your ride.
Important note: In case of urgent cancellation, we may not be able to refund your deposit. The free cancellation period is stated in your confirmation email.
What should I do if my flight is delayed?

If your flight is delayed by less than 30 minutes, the driver will adjust their arrival time automatically.

If the delay is longer, please inform the driver directly (their phone number is in your confirmation voucher) or contact WelcomeTaxi Customer Support at office@welcome.taxi. Please include your order number and the new arrival time.

Important note: The driver may charge an additional fee for extended waiting time.

How will I find my driver?

For airport transfers, if you’ve added the meet-and-greet option to your order, the driver will meet you in the arrivals area — right after passport control and baggage claim. You’ll see a name sign with your first and last names (or custom text, if specified in your booking).

Important note: We strongly recommend adding the meet-and-greet option to your airport transfer booking.

For hotel pickups, the driver will wait for you in the hotel lobby. Detailed meeting instructions and your driver’s contact number are provided in your booking confirmation voucher.

How can I be sure that my driver will pick me up?

WelcomeTaxi guarantees that your driver will do their best to meet you on time.

Both you and the driver will have each other’s phone or WhatsApp number. Please keep your mobile phone switched on at the time of pickup. If you can’t reach the driver, contact our support team immediately.

I can’t find my driver. What should I do?

If you can’t find your driver, please double-check the name signs again — the driver may have missed you in the crowd.

Try calling or messaging the driver via WhatsApp. If there’s no response within the meeting time, contact our support team.

If necessary, go to the airport’s Information Desk to arrange a local taxi to your destination.

Important note: If the driver fails to meet you, we will refund your payment.

Airport Transfers and Chauffeur Service from Brussels Airport

Brussels Airport (BRU) is the main international airport serving Brussels and one of the most important gateways to Belgium. Located in Zaventem, northeast of the Belgian capital, the airport provides convenient access not only to central Brussels but also to the European Quarter, surrounding business districts and many other cities in Belgium.

For travelers who prefer to avoid navigating public transport after a flight, a pre-booked private transfer from Brussels Airport offers a straightforward journey from the terminal to the final destination. WelcomeTaxi provides airport transfers, chauffeur service and long-distance transportation for individual travelers, families, business passengers and larger groups.

Getting from Brussels Airport to Brussels

Brussels Airport has good transport connections with the city. Passengers can choose between trains, public buses, regular taxis, rental cars and pre-arranged private transfers. The best option depends on the destination, arrival time, luggage and number of passengers.

Train from Brussels Airport

The airport railway station is located directly below the terminal and provides frequent connections with Brussels-North, Brussels-Central and Brussels-South stations. The journey to central Brussels is relatively short, making the train a practical option for passengers traveling light and staying close to a railway station.

Belgium's rail network also makes it possible to continue from the airport toward destinations such as Leuven, Antwerp, Ghent and other major cities. Travelers should remember that reaching a hotel or private address may still require a walk, metro, tram or taxi connection after leaving the train.

Bus Services

Several bus services connect Brussels Airport with Brussels and communities around the airport. Buses are useful for particular districts and commuting routes, including connections toward the European Quarter and areas that are not directly served by the airport railway.

For first-time visitors, however, choosing the correct service and continuing from the bus stop with luggage can be less convenient than door-to-door transportation.

Regular Airport Taxis

Official taxis are available outside the arrivals area at Brussels Airport. They are a convenient option for spontaneous travel and do not normally require advance planning. Depending on traffic and the final address, travel time and the final fare can vary.

A regular taxi may work well for a simple journey into central Brussels. A pre-booked airport transfer is often more suitable when passengers want the vehicle arranged before arrival, are traveling with several suitcases, require a larger vehicle or need to continue beyond Brussels.

Rental Cars

Car rental can be useful for travelers planning an independent road trip around Belgium or neighboring countries. For visitors whose main destination is Brussels, renting a car is often unnecessary. Central Brussels has extensive public transport, while parking and city traffic can make driving less attractive for a short stay.

Private Transfers from BRU

A private airport transfer provides direct transportation between Brussels Airport and a hotel, apartment, office, conference venue or private address. Instead of changing trains or searching for transportation after landing, passengers can continue toward their destination in the vehicle booked for their journey.

WelcomeTaxi can arrange different vehicle categories according to passenger numbers and luggage requirements. This makes private transportation particularly useful for families, groups, corporate travelers and passengers carrying more baggage than is comfortable on public transport.

English-speaking drivers can be requested, which is useful for international visitors arriving in Belgium for tourism, meetings, conferences or diplomatic and institutional travel.

Brussels Airport Chauffeur Service

Brussels is an important European business and institutional center, and many passengers arriving at BRU are traveling for meetings rather than conventional tourism. A chauffeur service provides greater flexibility when transportation is required for several appointments, hotel-to-office journeys, corporate events or a full working day.

Hourly chauffeur bookings can be arranged when an itinerary involves multiple locations rather than a single point-to-point transfer. This can be particularly convenient for visits involving the European Quarter, central Brussels, business areas around the city or meetings in nearby Belgian cities.

Pre-arranged chauffeur service also reduces the need to organize a new taxi after every meeting. The itinerary can instead be planned around the passenger's schedule, making the service suitable for executives, delegations and travelers with time-sensitive programs.

Long-Distance Transfers from Brussels Airport

Belgium is compact and densely connected, making Brussels Airport a practical starting point for private journeys throughout the country. WelcomeTaxi can arrange long-distance transfers from BRU directly to destinations such as Antwerp, Ghent, Bruges, Leuven, Liège and other Belgian cities.

A private car is especially convenient when the destination is not close to a major railway station or when several passengers are traveling together. Door-to-door transportation eliminates train changes and the additional taxi journey that may otherwise be necessary at the destination.

Long-distance transfers can also be useful for cross-border itineraries. Brussels lies close to several neighboring countries, and international journeys can be arranged depending on the route and vehicle availability. This can be an attractive option for passengers traveling to destinations in the Netherlands, Luxembourg, northern France or western Germany, particularly when carrying luggage or following a fixed schedule.

Transfers to Brussels Hotels and Business Districts

Brussels contains several distinct areas commonly used by international visitors. Some passengers stay around Grand-Place and the historic center, while others travel to hotels near Avenue Louise, the European Quarter, Brussels-Midi station or business districts outside the central tourist area.

With a private transfer, the driver takes passengers to the specified address rather than simply to the nearest major railway or bus station. This is helpful when arriving late, traveling with children or luggage, or staying somewhere unfamiliar.

Corporate travelers can also arrange direct transportation from Brussels Airport to offices, conference venues and meetings without first entering central Brussels if their destination lies elsewhere in the metropolitan area.

Brussels Airport to Other Belgian Cities

BRU is well positioned for regional travel. Leuven is relatively close to the airport, while Antwerp, Ghent and other major destinations can be reached without needing to enter Brussels first. Bruges is farther west but remains a popular destination for international visitors arriving through Brussels Airport.

Private transfers are particularly valuable for itineraries involving smaller towns, countryside hotels or destinations requiring several public transport connections. Travelers can move directly from the arrivals terminal to their accommodation without reorganizing luggage between different modes of transport.

Brussels Airport and Charleroi Airport Transfers

Brussels is also served by Brussels South Charleroi Airport (CRL), which is located considerably farther from the capital than BRU and is used by many low-cost flights. Some itineraries involve arrival at one Brussels-area airport and departure from the other.

A pre-booked private transfer between Brussels Airport and Charleroi Airport can simplify such connections, particularly for families, groups or travelers with substantial luggage. It can also be useful when a hotel stay or meeting in Brussels is planned between the two flights.

Why Pre-Book an Airport Transfer?

Public transportation from BRU is efficient, and regular taxis are readily available, so a private transfer is not the only way to reach Brussels. Its main advantage is convenience and predictability.

The journey is organized before arrival, the vehicle category can be selected according to the group size, and transportation continues directly to the requested destination. There is no need to study local routes after landing, move luggage through railway stations or arrange another taxi for the final part of the journey.

Pre-booking becomes even more useful for early-morning or late-evening journeys, larger groups, business schedules, long-distance destinations and trips involving several stops.

Useful Information for Travelers Arriving at BRU

Brussels Airport is located outside the central Brussels-Capital Region, so road journey times depend considerably on traffic. Weekday commuting periods can affect routes toward central Brussels and the city's ring road. Passengers with an important meeting or onward connection should allow an appropriate margin in their schedule.

Brussels itself has an extensive network of metro, tram, bus and rail services. Once checked into a centrally located hotel, many visitors can use public transport or walk for sightseeing. A private airport transfer is therefore often most valuable for the arrival and departure journeys, when passengers have luggage and want direct transportation.

For longer itineraries around Belgium, chauffeur-driven transportation can complement the rail network by providing direct access to places that would otherwise require multiple connections. Whether the journey is a simple BRU airport transfer to Brussels or a private car to another city, arranging transportation in advance provides a comfortable start to the trip.
