Frequently Asked Questions

How far in advance should I book a ride?

We recommend booking your transfer or hourly hire service at least 72 hours in advance. If you don’t have that much time, you can request an urgent transfer — we’ll let you know as soon as possible whether we can confirm it.

What pick-up time should I specify for the transfer?

If your transfer starts from an airport or railway station, please specify your flight or train arrival time as the start of your transfer. This helps the driver organize the meeting more accurately.

If your transfer starts from a hotel to an airport, please indicate the time you wish to be picked up at reception. You’ll need to calculate it yourself, allowing extra time for check-in. We recommend adding about 3 hours before your flight’s departure. For example, if your flight leaves at 14:00 and the trip takes 1 hour, your pick-up time should be 10:00.

How do I know if my order has been accepted?

After submitting your booking, you’ll receive an email with all trip details and your order status as “Waiting”. Once we receive and confirm your payment, the status will change to “Accepted”, and you’ll receive another email confirmation.

If you don’t receive the confirmation email, please contact our support team at office@welcome.taxi.

How do I change my booking?

To make changes to your booking, please contact our support team at office@welcome.taxi.

Important note: Requests for changes made less than 72 hours before your trip may be declined.

How can I cancel my booking?

You can cancel your booking in two ways:

  1. Via the booking page on our website — use the cancellation number provided in your booking voucher, at least 72 hours before the trip.
  2. By contacting our support team if it’s less than 72 hours before your ride.
    Important note: In case of urgent cancellation, we may not be able to refund your deposit. The free cancellation period is stated in your confirmation email.
What should I do if my flight is delayed?

If your flight is delayed by less than 30 minutes, the driver will adjust their arrival time automatically.

If the delay is longer, please inform the driver directly (their phone number is in your confirmation voucher) or contact WelcomeTaxi Customer Support at office@welcome.taxi. Please include your order number and the new arrival time.

Important note: The driver may charge an additional fee for extended waiting time.

How will I find my driver?

For airport transfers, if you’ve added the meet-and-greet option to your order, the driver will meet you in the arrivals area — right after passport control and baggage claim. You’ll see a name sign with your first and last names (or custom text, if specified in your booking).

Important note: We strongly recommend adding the meet-and-greet option to your airport transfer booking.

For hotel pickups, the driver will wait for you in the hotel lobby. Detailed meeting instructions and your driver’s contact number are provided in your booking confirmation voucher.

How can I be sure that my driver will pick me up?

WelcomeTaxi guarantees that your driver will do their best to meet you on time.

Both you and the driver will have each other’s phone or WhatsApp number. Please keep your mobile phone switched on at the time of pickup. If you can’t reach the driver, contact our support team immediately.

I can’t find my driver. What should I do?

If you can’t find your driver, please double-check the name signs again — the driver may have missed you in the crowd.

Try calling or messaging the driver via WhatsApp. If there’s no response within the meeting time, contact our support team.

If necessary, go to the airport’s Information Desk to arrange a local taxi to your destination.

Important note: If the driver fails to meet you, we will refund your payment.

Private Airport Transfers from Kraków Airport to the City

Kraków John Paul II International Airport (KRK), also known as Kraków Airport or Kraków-Balice Airport, is the main international airport serving Kraków and the Małopolska region of southern Poland. It is located in Balice, approximately 11 kilometres west of central Kraków, making it one of the most conveniently situated major airports in the country.

The airport is a popular arrival point for city-break visitors, business travellers, organised groups and passengers continuing to mountain resorts or other destinations in southern Poland. WelcomeTaxi provides pre-booked private transfers from KRK to hotels, apartments, offices and private addresses throughout Kraków, as well as chauffeur service and long-distance transportation across Poland.

A private transfer can also be booked from Kraków to the airport. Your pickup time can be planned according to the scheduled departure, expected road conditions and the time required for check-in and security procedures.

Getting from Kraków Airport to the City Centre

Kraków Airport has good transport connections with the city. Passengers can choose between a private airport transfer, train, public bus, regular taxi, ride-hailing service or rental car. The best option depends on the arrival time, group size, luggage and final destination.

Pre-Booked Private Transfer

A private airport transfer provides direct transportation from KRK to your hotel or another specified address. The vehicle is reserved exclusively for your party, so there is no need to wait for other passengers or make unscheduled stops.

This option is particularly convenient for first-time visitors, families, business travellers and passengers arriving with several suitcases. It is also suitable for groups that require a minivan, van, minibus or several coordinated vehicles.

The destination and pickup details are recorded in advance, reducing the risk of confusion after landing. Instead of searching for transport at the terminal, passengers proceed to the agreed meeting point and travel directly to their accommodation.

Airport Train

A direct rail connection operates between Kraków Airport and Kraków Główny, the city’s main railway station. The station is close to the Old Town and connected to the terminal by a covered walkway. The train journey normally takes around 20 minutes, making it a practical option for passengers staying near the main station or travelling with light luggage.

Passengers whose accommodation is in Kazimierz, Podgórze or another district may need to continue by tram, bus or taxi. The train may therefore be less convenient for families, larger groups or travellers carrying bulky bags.

Public Buses

Municipal buses connect the airport with Kraków and surrounding areas. Both daytime and night services may be available, depending on the current timetable. Public transport is generally the most economical way to leave the airport.

A bus can work well for passengers familiar with the local network, but the journey is slower than the airport train and may require a change before reaching the final address. Travelling on crowded public transport can also be uncomfortable with large suitcases or young children.

Airport Taxis and Ride-Hailing Services

An official airport taxi service operates from Kraków Airport. App-based ride-hailing services are also widely used in the city. These options provide door-to-door travel without advance arrangements, although waiting times and prices can vary according to demand, traffic and vehicle availability.

For a simple city journey, ordering a vehicle after arrival may be sufficient. However, passengers requiring a particular vehicle size, several child seats or transportation to another city are usually better served by booking in advance.

Car Rental

Several car rental companies operate at or near the airport. Renting a car can be useful for travellers planning an independent itinerary across Poland. It is less attractive for a short stay in central Kraków, where many attractions are within walking distance and parking can be limited or expensive.

Drivers should also be prepared for regulated parking areas, busy traffic and access restrictions around the historic centre.

Why Book a Transfer Instead of Taking a Regular Taxi?

Kraków Airport is close to the city, but the convenience of a pre-booked transfer is not determined by distance alone. Advance booking gives passengers a confirmed vehicle category, a recorded destination and transportation organised around their arrival.

A private transfer is especially useful when:

  • you are travelling with a family or group;
  • you have several suitcases or oversized luggage;
  • your flight arrives late at night or early in the morning;
  • you need an English-speaking driver;
  • you are travelling directly to Zakopane or another city;
  • you require a minivan, van or minibus;
  • you have an important meeting or fixed onward schedule.

Unlike a regular taxi hired at the airport, a pre-booked transfer can be planned for the exact passenger and luggage requirements. It also avoids the need to explain an unfamiliar destination or negotiate transportation after a long flight.

WelcomeTaxi operates as an international booking service, arranging local transportation through suitable professional providers. The route, schedule and essential travel details are confirmed before the journey.

Chauffeur Service in Kraków

WelcomeTaxi’s chauffeur service is available for business appointments, sightseeing, conferences, weddings and other travel within Kraków. A private vehicle with a driver can be booked for a single journey or for an agreed number of hours.

Hourly chauffeur hire is particularly convenient when several stops are required. The vehicle can remain available while the passenger attends meetings, visits attractions or moves between hotels, restaurants and event venues.

Common destinations include the Old Town, Main Market Square, Wawel Castle, Kazimierz, Podgórze, the ICE Kraków Congress Centre and business districts throughout the metropolitan area. Chauffeur service can also be arranged for excursions outside the city.

An English-speaking driver can be requested, subject to availability. This is often helpful for international travellers, although the chauffeur service should be regarded primarily as professional transportation rather than a guided tour.

Transfers to Kraków Hotels and Districts

Many visitors stay in or near the historic Old Town. Because some central streets are pedestrianised or subject to vehicle access restrictions, the driver may need to use the nearest authorised stopping point rather than the exact entrance of an accommodation property.

Kazimierz, the former Jewish quarter, is another popular hotel and apartment area. Private transfers are also available to Podgórze, Grzegórzki, Krowodrza, Bronowice, Nowa Huta and other districts.

When booking accommodation in the historic centre, passengers should provide the complete street address and, where available, any access instructions supplied by the hotel or apartment host.

Transfers from Kraków Airport to Zakopane

Zakopane is one of the most frequently requested long-distance destinations from Kraków Airport. The resort lies at the foot of the Tatra Mountains and attracts visitors throughout the year for skiing, hiking, wellness stays and mountain holidays.

A private transfer from KRK to Zakopane offers direct travel without returning to central Kraków to board a bus or train. This can save time and simplify the journey for passengers carrying ski equipment, large suitcases or travelling with children.

Journey times vary significantly with traffic, weather and seasonal demand. Roads towards Zakopane can become congested during weekends, public holidays and the winter ski season. Passengers with fixed plans should allow sufficient time and avoid arranging tight connections.

Transfers are also available to Kościelisko, Bukowina Tatrzańska, Białka Tatrzańska and other resorts in the Podhale region.

Regional and Long-Distance Transfers from KRK

Kraków Airport is well positioned for private road transfers throughout southern Poland. WelcomeTaxi can arrange direct transportation from the terminal to cities, resorts, business locations and tourist attractions that would otherwise require several public transport connections.

Wieliczka Salt Mine

Wieliczka is located close to Kraków and is one of the region’s best-known visitor destinations. A private transfer can take passengers directly from the airport to a hotel in Wieliczka or to the area near the salt mine.

Auschwitz-Birkenau and Oświęcim

Private transportation can be arranged from Kraków Airport or the city to Oświęcim and the Auschwitz-Birkenau Memorial and Museum. Visitors should reserve museum entry separately and allow enough time for security procedures and the visit itself.

A driver provides transportation but does not replace a licensed museum guide. Round-trip travel with waiting time should be specified when requesting a quotation.

Katowice and Katowice Airport

Katowice is an important commercial and cultural centre west of Kraków. Private transfers are available between KRK, central Katowice and Katowice Airport (KTW).

KTW is the main alternative airport commonly associated with travel to Kraków. It is considerably farther from the city than KRK, so a pre-booked transfer is especially useful for passengers arriving there with luggage or travelling late at night.

Other Polish Cities

Long-distance transfers can also be arranged to Wrocław, Rzeszów, Kielce, Łódź, Warsaw and other destinations. A private car provides direct door-to-door travel and can be more practical than rail when passengers have substantial luggage, require several stops or are travelling to an address outside a city centre.

Vehicles for Individuals, Families and Groups

The appropriate vehicle depends on the number of passengers, suitcase count and travel route. A private car is normally suitable for one to three travellers with standard luggage. Families or groups may require a minivan or van.

For conferences, weddings, organised tours and larger groups, minibuses, coaches or several vehicles can be requested. Accurate passenger and luggage information is important because a vehicle’s seating capacity does not always represent its capacity when every passenger has a large suitcase.

Bulky items such as skis, snowboards, wheelchairs, bicycles or sports equipment must be declared before booking. This allows the transport provider to confirm a suitable vehicle rather than discovering insufficient luggage space at pickup.

Useful Travel Information for Kraków

Polish is the official language, while English is widely understood in hotels, restaurants and tourism-related businesses in central Kraków. English proficiency may vary among local drivers, so travellers who consider it essential should request an English-speaking driver when booking.

Poland uses the Polish złoty. Card payments are common throughout Kraków, although carrying a small amount of local currency can still be useful.

The Old Town is compact and best explored on foot. Trams and buses provide extensive transportation across the rest of the city. Visitors staying centrally may therefore need a car mainly for airport transportation, business appointments and excursions outside Kraków.

Winters can be cold and snowy, while summer is a busy tourism season. Travel times may increase during major events, public holidays, roadworks and peak arrival periods. Mountain routes require additional flexibility during severe winter weather.

Book a Private Transfer from Kraków Airport

WelcomeTaxi provides airport transfers, chauffeur service and long-distance transportation from Kraków John Paul II International Airport. You can arrange a direct transfer to a Kraków hotel, a business vehicle for several appointments or a private journey to Zakopane, Katowice or another city.

For an accurate quotation, provide the flight details, pickup date and time, complete destination address, passenger count and luggage information. Special equipment, child seats, additional stops and unusual vehicle requirements should be included in the request.
