Frequently Asked Questions
How far in advance should I book a ride?
We recommend booking your transfer or hourly hire service at least 72 hours in advance. If you don’t have that much time, you can request an urgent transfer — we’ll let you know as soon as possible whether we can confirm it.
What pick-up time should I specify for the transfer?
If your transfer starts from an airport or railway station, please specify your flight or train arrival time as the start of your transfer. This helps the driver organize the meeting more accurately.
If your transfer starts from a hotel to an airport, please indicate the time you wish to be picked up at reception. You’ll need to calculate it yourself, allowing extra time for check-in. We recommend adding about 3 hours before your flight’s departure. For example, if your flight leaves at 14:00 and the trip takes 1 hour, your pick-up time should be 10:00.
How do I know if my order has been accepted?
After submitting your booking, you’ll receive an email with all trip details and your order status as “Waiting”. Once we receive and confirm your payment, the status will change to “Accepted”, and you’ll receive another email confirmation.
If you don’t receive the confirmation email, please contact our support team at office@welcome.taxi.
How do I change my booking?
To make changes to your booking, please contact our support team at office@welcome.taxi.
Important note: Requests for changes made less than 72 hours before your trip may be declined.
How can I cancel my booking?
You can cancel your booking in two ways:
- Via the booking page on our website — use the cancellation number provided in your booking voucher, at least 72 hours before the trip.
- By contacting our support team if it’s less than 72 hours before your ride.
Important note: In case of urgent cancellation, we may not be able to refund your deposit. The free cancellation period is stated in your confirmation email.
What should I do if my flight is delayed?
If your flight is delayed by less than 30 minutes, the driver will adjust their arrival time automatically.
If the delay is longer, please inform the driver directly (their phone number is in your confirmation voucher) or contact WelcomeTaxi Customer Support at office@welcome.taxi. Please include your order number and the new arrival time.
Important note: The driver may charge an additional fee for extended waiting time.
How will I find my driver?
For airport transfers, if you’ve added the meet-and-greet option to your order, the driver will meet you in the arrivals area — right after passport control and baggage claim. You’ll see a name sign with your first and last names (or custom text, if specified in your booking).
Important note: We strongly recommend adding the meet-and-greet option to your airport transfer booking.
For hotel pickups, the driver will wait for you in the hotel lobby. Detailed meeting instructions and your driver’s contact number are provided in your booking confirmation voucher.
How can I be sure that my driver will pick me up?
WelcomeTaxi guarantees that your driver will do their best to meet you on time.
Both you and the driver will have each other’s phone or WhatsApp number. Please keep your mobile phone switched on at the time of pickup. If you can’t reach the driver, contact our support team immediately.
I can’t find my driver. What should I do?
If you can’t find your driver, please double-check the name signs again — the driver may have missed you in the crowd.
Try calling or messaging the driver via WhatsApp. If there’s no response within the meeting time, contact our support team.
If necessary, go to the airport’s Information Desk to arrange a local taxi to your destination.
Important note: If the driver fails to meet you, we will refund your payment.

Airport Transfers and Chauffeur Service in Ha Long
Ha Long is a coastal city in Quang Ninh Province and the main gateway to Ha Long Bay, one of Vietnam’s best-known natural attractions. Travellers come to the area for bay cruises, island excursions, seaside resorts and journeys through northeastern Vietnam. The city also serves as an important centre for regional tourism, commerce and maritime transport.
WelcomeTaxi provides pre-booked private transfers in Ha Long for airport arrivals, cruise departures, hotel journeys, business travel and regional itineraries. Transport can be arranged between airports, accommodation, passenger ports and private addresses, helping travellers avoid the uncertainty of finding a suitable vehicle after arrival.
Airport Transfers to Ha Long
Van Don International Airport (VDO)
Van Don International Airport is located in Quang Ninh Province and is the principal airport serving the wider Ha Long and Bai Tu Long Bay region. Its road connection to Ha Long makes it a convenient arrival point when a suitable flight is available.
A private transfer from Van Don Airport can take passengers directly to a hotel in Ha Long, a resort, Tuan Chau, Ha Long International Cruise Port or another address in the province. Pre-booking is particularly useful because flight schedules and local transport availability may vary. Your vehicle can be selected in advance according to the number of passengers and the amount of luggage.
Transfers can also be arranged from VDO to Cam Pha, Van Don, Ao Tien Port and destinations around Bai Tu Long Bay. For early departures or time-sensitive cruise connections, private door-to-door transport provides a straightforward alternative to coordinating local buses and taxis.
Cat Bi International Airport (HPH)
Cat Bi International Airport serves Hai Phong and is another practical airport for travellers visiting Ha Long. The journey involves an intercity road transfer, making advance booking a convenient choice for passengers who want to travel directly from the terminal to their accommodation or cruise departure point.
A private transfer between Cat Bi Airport and Ha Long avoids the need to travel into central Hai Phong to arrange onward transportation. It can also be suitable for families, groups and passengers carrying cruise luggage. Transfers are available in both directions, including pickups from Ha Long hotels for departing flights from HPH.
Noi Bai International Airport (HAN)
Noi Bai International Airport in Hanoi offers the broadest range of flight connections for many international visitors travelling to Ha Long. Although it is farther from the city than Van Don or Cat Bi, it remains an important gateway to the region.
A long-distance transfer from Hanoi Airport to Ha Long provides a direct journey without entering central Hanoi or changing between different forms of transport. Passengers can travel from the airport to a hotel, resort or harbour in one vehicle. Return transfers from Ha Long to Noi Bai Airport can also be planned around the required check-in time.
Private Transfers within Ha Long
Ha Long extends along a broad coastal area, and its hotels, attractions and passenger ports are not concentrated in a single compact district. Bai Chay is a major tourism area with hotels, restaurants and entertainment facilities, while Hon Gai is the city’s administrative and commercial centre. Tuan Chau Island is another important destination for resorts and cruise departures.
A private transfer is useful for journeys between these areas, particularly when travelling with luggage or following a fixed cruise schedule. Services can connect hotels with Ha Long International Cruise Port, Tuan Chau Harbour and other confirmed embarkation points. Passengers should provide the exact name and location of their cruise terminal because departure arrangements may differ between operators.
Transport can also be booked between resorts, restaurants, attractions and private accommodation. Sedans are suitable for many individual travellers and couples, while families and larger groups can request minivans, vans, minibuses or coaches where available.
Ha Long Chauffeur Service
A chauffeur service in Ha Long is suitable for travellers who need a vehicle for several hours or for a complete day. It can be used for business appointments, hotel inspections, events, sightseeing or personalised travel around Quang Ninh Province.
An hourly or daily booking provides greater flexibility when an itinerary includes several stops. Instead of arranging a separate taxi for every journey, passengers can follow a planned schedule with an appropriate vehicle available for the agreed period. This is especially useful for groups and corporate travellers visiting locations in different parts of the city.
Chauffeur-driven transport can also support sightseeing outside central Ha Long. Possible itineraries may include destinations around Quang Ninh, Bai Tu Long Bay access points, Yen Tu or coastal towns in the region. The complete route should be supplied when requesting a quotation so that journey time, waiting time and vehicle requirements can be calculated correctly.
Transfers for Ha Long Bay Cruises
Many visitors travel to Ha Long specifically to join a daytime or overnight cruise. Cruise operators may use different harbours, terminals and meeting points, so it is important to confirm the exact embarkation location before booking ground transportation.
A pre-booked cruise transfer can collect passengers from an airport, Hanoi hotel or another address and deliver them directly to the confirmed departure point. This removes the need to negotiate with local drivers or determine the correct terminal while carrying luggage.
Passengers should allow sufficient time before the cruise check-in deadline. The pickup schedule should account for the length of the road journey, possible traffic and any breaks requested along the way. For the return journey, collection can be arranged after disembarkation for travel to Hanoi, an airport or another destination.
Long-Distance Transfers from Ha Long
Ha Long has modern road connections with Hanoi, Hai Phong, Van Don and other destinations in northern Vietnam. Private long-distance transfers provide direct transportation without bus station visits, shared-vehicle schedules or additional taxi journeys at either end of the route.
Popular services include transfers between Ha Long and Hanoi, Cat Bi Airport, Noi Bai Airport and Van Don Airport. Journeys can also be requested to Ninh Binh, Cat Ba access points and other cities or tourism areas, subject to route and vehicle availability.
Long-distance travel is particularly convenient in a private vehicle when passengers have several suitcases, young children or a tight connection between a flight and a cruise. Pickup can be arranged from a specific hotel or private address rather than a fixed bus stop.
Why Pre-Book a Transfer Instead of Taking a Taxi?
Local taxis can be practical for short journeys, but an airport or intercity transfer requires more planning. A vehicle found on arrival may not have enough space for the passengers and their luggage, while the driver may not be prepared to accept a longer journey to another city.
With a pre-booked transfer, the route, date, pickup time, passenger count and luggage requirements are confirmed in advance. The traveller also avoids negotiating a fare after a long flight or searching for transportation at a busy cruise terminal.
Advance booking is especially valuable during Vietnamese public holidays, weekends and peak travel periods, when demand for transport to Ha Long Bay may increase. It also allows families to request child seats and groups to reserve a vehicle with sufficient capacity.
Local Transportation in Ha Long
Visitors can use taxis, local buses and app-based transport for some journeys within the city. However, travel times depend on the exact location, and destinations described simply as “Ha Long” may be in Bai Chay, Hon Gai, Tuan Chau or another part of the urban area.
Walking may be practical within individual tourism districts, but it is not suitable for every journey because the city is spread along the coast. Travelling between hotels, harbours and attractions often requires road transport. A private vehicle provides a useful option when timing, luggage space and direct service are more important than using the lowest-cost local connection.
Useful Information for Your Ha Long Transfer
When making a booking, provide the complete pickup and drop-off addresses, date, requested time, number of passengers and approximate luggage quantity. Airport passengers should include their flight number, while cruise travellers should supply the vessel or operator name, harbour, terminal and check-in time.
Travel times can be affected by traffic, weather and holiday demand. Cruise departures generally follow fixed schedules, so adequate time should be included between an airport arrival and embarkation. For airport departures, the planned pickup should also allow time for the road journey and airline check-in procedures.
Whether you need a transfer from Van Don Airport, a direct journey from Hanoi, transport to a Ha Long Bay cruise or a chauffeur service for a regional itinerary, WelcomeTaxi can arrange private ground transportation around your confirmed travel plans.
