Frequently Asked Questions
How far in advance should I book a ride?
We recommend booking your transfer or hourly hire service at least 72 hours in advance. If you don’t have that much time, you can request an urgent transfer — we’ll let you know as soon as possible whether we can confirm it.
What pick-up time should I specify for the transfer?
If your transfer starts from an airport or railway station, please specify your flight or train arrival time as the start of your transfer. This helps the driver organize the meeting more accurately.
If your transfer starts from a hotel to an airport, please indicate the time you wish to be picked up at reception. You’ll need to calculate it yourself, allowing extra time for check-in. We recommend adding about 3 hours before your flight’s departure. For example, if your flight leaves at 14:00 and the trip takes 1 hour, your pick-up time should be 10:00.
How do I know if my order has been accepted?
After submitting your booking, you’ll receive an email with all trip details and your order status as “Waiting”. Once we receive and confirm your payment, the status will change to “Accepted”, and you’ll receive another email confirmation.
If you don’t receive the confirmation email, please contact our support team at office@welcome.taxi.
How do I change my booking?
To make changes to your booking, please contact our support team at office@welcome.taxi.
Important note: Requests for changes made less than 72 hours before your trip may be declined.
How can I cancel my booking?
You can cancel your booking in two ways:
- Via the booking page on our website — use the cancellation number provided in your booking voucher, at least 72 hours before the trip.
- By contacting our support team if it’s less than 72 hours before your ride.
Important note: In case of urgent cancellation, we may not be able to refund your deposit. The free cancellation period is stated in your confirmation email.
What should I do if my flight is delayed?
If your flight is delayed by less than 30 minutes, the driver will adjust their arrival time automatically.
If the delay is longer, please inform the driver directly (their phone number is in your confirmation voucher) or contact WelcomeTaxi Customer Support at office@welcome.taxi. Please include your order number and the new arrival time.
Important note: The driver may charge an additional fee for extended waiting time.
How will I find my driver?
For airport transfers, if you’ve added the meet-and-greet option to your order, the driver will meet you in the arrivals area — right after passport control and baggage claim. You’ll see a name sign with your first and last names (or custom text, if specified in your booking).
Important note: We strongly recommend adding the meet-and-greet option to your airport transfer booking.
For hotel pickups, the driver will wait for you in the hotel lobby. Detailed meeting instructions and your driver’s contact number are provided in your booking confirmation voucher.
How can I be sure that my driver will pick me up?
WelcomeTaxi guarantees that your driver will do their best to meet you on time.
Both you and the driver will have each other’s phone or WhatsApp number. Please keep your mobile phone switched on at the time of pickup. If you can’t reach the driver, contact our support team immediately.
I can’t find my driver. What should I do?
If you can’t find your driver, please double-check the name signs again — the driver may have missed you in the crowd.
Try calling or messaging the driver via WhatsApp. If there’s no response within the meeting time, contact our support team.
If necessary, go to the airport’s Information Desk to arrange a local taxi to your destination.
Important note: If the driver fails to meet you, we will refund your payment.

Airport Transfers and Chauffeur Service from London Heathrow
London Heathrow Airport (LHR) is one of the principal international gateways to London and the United Kingdom. Located west of Central London, Heathrow handles travellers heading not only into the capital but also to destinations throughout southern England and the rest of the country. The airport operates four passenger terminals: Terminals 2, 3, 4 and 5.
WelcomeTaxi provides pre-booked private airport transfers from Heathrow to hotels, private addresses, railway stations, business districts and destinations outside London. A private transfer is particularly convenient after a long flight, when travelling with luggage, children or a group, or when your destination is not easily reached by a direct train.
Getting from Heathrow Airport to London
Passengers arriving at Heathrow have several ways to reach Central London. The best choice depends on your destination, budget, luggage and the number of people travelling.
Heathrow Express
Heathrow Express provides a fast rail connection to London Paddington. Non-stop services operate frequently, with the journey from the central Heathrow terminals to Paddington taking around 15 minutes. It is a useful option when your accommodation is near Paddington or when you can easily continue your journey by Underground, taxi or another rail service.
Elizabeth Line
The Elizabeth line connects Heathrow with several important locations across London, including Paddington, Bond Street, Tottenham Court Road, Farringdon and Liverpool Street. It is particularly useful for travellers whose destination is along the central or eastern parts of the line, as it can reduce the need to change trains while carrying luggage.
London Underground
The Piccadilly line serves all Heathrow terminals and offers a direct connection to many areas of Central London. The journey is slower than the fastest rail services but can be practical for destinations such as South Kensington, Knightsbridge, Piccadilly Circus and King's Cross St Pancras.
Buses and Coaches
Local buses serve areas around Heathrow, while long-distance coaches connect the airport with London and numerous towns and cities across the United Kingdom. Coach travel can be useful for selected regional routes, although scheduled departures and intermediate stops make it less flexible than a private car.
Taxis and Private Transfers
London black cabs and licensed private-hire vehicles are also available at Heathrow. For travellers who want their transport arranged in advance, a pre-booked airport transfer removes the need to choose a transport option after landing. Your destination, vehicle requirements and journey are arranged before arrival, making this especially useful for first-time visitors to London.
Private Heathrow Transfers to London Hotels and Addresses
London is geographically large, so the most convenient airport transport option can vary considerably depending on where you are staying. A passenger travelling to Kensington or Chelsea has different requirements from someone heading to Canary Wharf, the City of London, Greenwich or a hotel near King's Cross.
A private transfer provides direct door-to-door transport without carrying luggage through stations or changing between trains. It can be particularly practical for couples with several suitcases, families with children, passengers arriving late in the day and groups that would otherwise need several separate tickets or vehicles.
WelcomeTaxi transfers can be arranged to Central London hotels, residential addresses, offices and major transport hubs such as Paddington, Victoria, Waterloo, King's Cross St Pancras, Euston and Liverpool Street.
Chauffeur Service from Heathrow Airport
For business travellers and passengers looking for a more comfortable arrival, a chauffeur service from Heathrow provides a private vehicle for the journey into London or onward to another destination. English-speaking drivers make communication straightforward for international visitors, while pre-arranged transport helps keep an airport arrival organised.
Chauffeur service is suitable for corporate travel, meetings, hotel transfers, special occasions and longer journeys where comfort and privacy are more important than simply finding the cheapest way into the city.
Transfers Between Heathrow and Other London Airports
London is served by several airports, and passengers occasionally need to transfer between them for a connecting flight. Heathrow has public coach and rail options for airport-to-airport travel, but these journeys can involve changes and additional time for luggage.
A private airport transfer is often a practical alternative for connections such as Heathrow to Gatwick (LGW), London City (LCY), Luton (LTN), Stansted (STN) or Southend (SEN). The driver takes you directly from one airport to the other, without navigating railway stations with bags. Because road traffic around London can vary considerably, passengers making separate-ticket flight connections should always allow a generous margin between flights.
Long-Distance Transfers from Heathrow
Heathrow is well positioned for road journeys beyond London. WelcomeTaxi can arrange long-distance private transfers to destinations throughout England and, where suitable, elsewhere in the United Kingdom. This is useful when the final destination has no convenient direct airport connection or when several passengers are travelling together.
Typical onward journeys may include Oxford, Cambridge, Windsor, Reading, Southampton, Portsmouth, Brighton, the Cotswolds and other cities, towns, hotels and cruise terminals. Long-distance transfers can also be useful for travellers combining London with regional sightseeing or travelling directly from an arriving flight to a meeting, university, resort or private residence.
Heathrow Transfers to Cruise Ports
Passengers arriving in London for a cruise often continue from Heathrow to ports on the south coast. A pre-booked private transfer can provide a direct journey from the airport to a cruise terminal without the complications of travelling into Central London first and then changing to another train or coach.
This can be especially valuable for passengers carrying cruise luggage or travelling as a family or group. When arranging transport to a ship, allow sufficient time for immigration, baggage collection, road conditions and the cruise line's required check-in time.
Why Pre-Book Instead of Taking a Regular Taxi?
A taxi from the rank can be convenient for spontaneous journeys, but advance booking offers greater predictability. With a pre-booked transfer, the required vehicle and destination are arranged before you arrive. This is useful when you need a larger vehicle, have substantial luggage, are travelling with children or are continuing far beyond London.
Pre-booking is also helpful when travelling to an unfamiliar address. Instead of explaining the destination after a long flight or deciding between transport alternatives in the arrivals area, you can continue with a journey that has already been planned.
Useful Information for Arriving at Heathrow
Heathrow is a large airport, so always check which terminal your flight uses. Terminals 2 and 3 are located close to one another, while Terminals 4 and 5 have their own access routes and transport stations. Providing accurate flight and destination information when booking helps ensure that the pickup is arranged for the correct terminal.
Travel time by road into London depends heavily on the destination and traffic conditions. London traffic can be particularly busy during weekday commuting periods, so journeys should not be planned solely around the fastest theoretical driving time. If you have a meeting, train departure, cruise embarkation or another time-sensitive connection, leave an appropriate buffer.
For travellers continuing beyond London, Heathrow's position near major road connections makes a direct private transfer a convenient alternative to travelling into the city first. Whether you need an airport transfer to a hotel, an English-speaking chauffeur for business travel or a long-distance transfer across the United Kingdom, advance booking makes the onward journey simpler from the moment you leave the terminal.
