Frequently Asked Questions
How far in advance should I book a ride?
We recommend booking your transfer or hourly hire service at least 72 hours in advance. If you don’t have that much time, you can request an urgent transfer — we’ll let you know as soon as possible whether we can confirm it.
What pick-up time should I specify for the transfer?
If your transfer starts from an airport or railway station, please specify your flight or train arrival time as the start of your transfer. This helps the driver organize the meeting more accurately.
If your transfer starts from a hotel to an airport, please indicate the time you wish to be picked up at reception. You’ll need to calculate it yourself, allowing extra time for check-in. We recommend adding about 3 hours before your flight’s departure. For example, if your flight leaves at 14:00 and the trip takes 1 hour, your pick-up time should be 10:00.
How do I know if my order has been accepted?
After submitting your booking, you’ll receive an email with all trip details and your order status as “Waiting”. Once we receive and confirm your payment, the status will change to “Accepted”, and you’ll receive another email confirmation.
If you don’t receive the confirmation email, please contact our support team at office@welcome.taxi.
How do I change my booking?
To make changes to your booking, please contact our support team at office@welcome.taxi.
Important note: Requests for changes made less than 72 hours before your trip may be declined.
How can I cancel my booking?
You can cancel your booking in two ways:
- Via the booking page on our website — use the cancellation number provided in your booking voucher, at least 72 hours before the trip.
- By contacting our support team if it’s less than 72 hours before your ride.
Important note: In case of urgent cancellation, we may not be able to refund your deposit. The free cancellation period is stated in your confirmation email.
What should I do if my flight is delayed?
If your flight is delayed by less than 30 minutes, the driver will adjust their arrival time automatically.
If the delay is longer, please inform the driver directly (their phone number is in your confirmation voucher) or contact WelcomeTaxi Customer Support at office@welcome.taxi. Please include your order number and the new arrival time.
Important note: The driver may charge an additional fee for extended waiting time.
How will I find my driver?
For airport transfers, if you’ve added the meet-and-greet option to your order, the driver will meet you in the arrivals area — right after passport control and baggage claim. You’ll see a name sign with your first and last names (or custom text, if specified in your booking).
Important note: We strongly recommend adding the meet-and-greet option to your airport transfer booking.
For hotel pickups, the driver will wait for you in the hotel lobby. Detailed meeting instructions and your driver’s contact number are provided in your booking confirmation voucher.
How can I be sure that my driver will pick me up?
WelcomeTaxi guarantees that your driver will do their best to meet you on time.
Both you and the driver will have each other’s phone or WhatsApp number. Please keep your mobile phone switched on at the time of pickup. If you can’t reach the driver, contact our support team immediately.
I can’t find my driver. What should I do?
If you can’t find your driver, please double-check the name signs again — the driver may have missed you in the crowd.
Try calling or messaging the driver via WhatsApp. If there’s no response within the meeting time, contact our support team.
If necessary, go to the airport’s Information Desk to arrange a local taxi to your destination.
Important note: If the driver fails to meet you, we will refund your payment.

Airport Transfers and Chauffeur Service from Vienna Airport
Vienna International Airport (VIE) is Austria's main international aviation gateway and the principal airport serving Vienna. Located in Schwechat, southeast of the city centre, it provides convenient access not only to the Austrian capital but also to destinations throughout Lower Austria and neighbouring countries.
WelcomeTaxi offers pre-booked private airport transfers from VIE for individual travellers, families, business passengers and groups. Your vehicle can be reserved before arrival, with the destination, passenger count and luggage requirements arranged in advance.
Private transfers are available to hotels, apartments, offices and other addresses throughout Vienna, as well as for longer journeys to destinations elsewhere in Austria and Central Europe. English-speaking drivers can be requested for easier communication during the journey.
Getting from Vienna Airport to the City Centre
Vienna Airport is approximately 18 kilometres southeast of central Vienna. The airport is well connected with the city by road and public transport, giving arriving passengers several ways to reach their accommodation.
Transport options include private airport transfers, regular taxis, trains and airport buses. Vienna has an excellent public transport system, so rail connections can be particularly convenient for passengers travelling light and staying near a major station. A private transfer, however, provides direct door-to-door transportation without the need to change trains, carry luggage through stations or continue by taxi from the city centre.
Private Airport Transfer
A pre-booked private transfer is one of the simplest ways to travel from Vienna Airport to your hotel or private address. Instead of arranging transportation after landing, passengers have their journey planned in advance.
This option is particularly useful for families, business travellers, passengers carrying several suitcases and groups requiring vans or larger vehicles. It can also be convenient for late arrivals or travellers continuing directly to destinations outside Vienna.
WelcomeTaxi offers different vehicle categories, allowing passengers to choose transportation appropriate for their group size and luggage requirements.
City Airport Train and Rail Services
Vienna Airport has its own railway station directly connected with the passenger terminal area. Rail services provide frequent connections to Vienna and other destinations in Austria.
The City Airport Train, commonly known as CAT, runs directly between the airport and Wien Mitte in central Vienna. Regional S-Bahn services also connect the airport with the city, while long-distance Railjet trains provide convenient access to Vienna Hauptbahnhof and destinations beyond the capital.
Train travel can be an efficient choice for passengers staying close to a railway or underground station. Travellers with heavy luggage, children or accommodation away from the main transport hubs may prefer a private transfer directly to their door.
Airport Bus Services
Airport buses provide another public transport option between VIE and Vienna. Different services connect the airport with important locations in the city, including major transport hubs.
Buses may be suitable for travellers with flexible schedules, while a private airport transfer offers the advantage of travelling directly to a specific hotel, apartment or business address.
Taxi from Vienna Airport
Taxis are available at Vienna Airport and provide direct transportation into the city. They can be convenient for passengers who prefer to arrange their journey after arrival.
Pre-booking a private transfer offers more certainty before travelling. The vehicle type and destination are already arranged, which can be especially useful for groups, passengers with special luggage requirements or travellers continuing beyond Vienna.
Chauffeur Service in Vienna
Vienna is a major European destination for tourism, international business, conferences and diplomatic travel. Many visitors require transportation between several locations rather than a single airport transfer.
A chauffeur service allows passengers to reserve a vehicle with a driver for an agreed period. This can be convenient for business meetings, conferences, shopping, sightseeing or itineraries involving several stops throughout the city.
Typical destinations include hotels around the historic centre, Vienna International Centre, Messe Wien, corporate offices and event venues. English-speaking chauffeurs can be requested for international travellers.
Hourly chauffeur service also removes the need to arrange a separate taxi after every appointment. The driver and vehicle remain available according to the booked schedule, making multi-stop travel more straightforward.
Private Transfers to Vienna Hotels and Attractions
Vienna's historic centre contains many of the city's best-known hotels and attractions, including St. Stephen's Cathedral, the Hofburg, the Vienna State Opera and the Ringstrasse. Other major visitor destinations include Schönbrunn Palace, Belvedere Palace and the Prater.
A private transfer can take passengers directly from VIE to accommodation anywhere in the city, including hotels outside the central districts. This is useful because Vienna covers a large urban area and not every property is located close to a direct airport rail connection.
Long-Distance Transfers from Vienna Airport
Vienna's position in Central Europe makes VIE a practical starting point for long-distance road journeys. WelcomeTaxi can arrange direct transfers from the airport to destinations throughout Austria as well as selected cities in neighbouring countries.
Private long-distance transfers are particularly useful when the destination does not have a convenient direct flight or rail connection, when travelling with substantial luggage or when several passengers are travelling together.
Door-to-door service also avoids the need to travel into central Vienna first before beginning the next part of the journey.
Vienna Airport to Bratislava
Bratislava is one of the most practical international destinations from Vienna Airport. The Slovak capital lies east of Vienna and the two cities form one of Europe's closest pairs of national capitals.
A private transfer from VIE to Bratislava can take passengers directly to a hotel, residence or business address in Slovakia. This can be particularly convenient for travellers arriving on a flight to Vienna but staying in Bratislava.
Bratislava Airport (BTS) also serves the wider cross-border region. Depending on flight schedules and fares, travellers visiting Vienna or western Slovakia may therefore encounter both VIE and BTS when planning their trip.
Transfers from Vienna Airport to Salzburg
Salzburg is one of Austria's most popular tourism destinations and can be reached from Vienna by both rail and road. Travellers who prefer direct door-to-door transportation can arrange a private transfer from Vienna Airport.
This option can be attractive for families, small groups or passengers travelling directly to a hotel or resort outside central Salzburg. It also eliminates the need to transfer from the airport to a railway station before continuing west across Austria.
Private Transfers to Graz and Styria
WelcomeTaxi can also arrange long-distance transfers from VIE to Graz and destinations throughout Styria. A private vehicle can be especially useful when travelling to locations outside the main railway network or when the final destination is a hotel, company site or private address outside a city centre.
For business travellers, direct airport transportation may also simplify itineraries involving industrial and commercial destinations in southern Austria.
Vienna Airport to Budapest
Vienna and Budapest are major Central European capitals with strong tourism and business links. Although frequent rail services connect the two cities, a private transfer provides an alternative for travellers who prefer a direct journey between Vienna Airport and their destination in Budapest.
This can be particularly useful for groups, families, travellers with large amounts of luggage or passengers whose destination is outside central Budapest.
Transfers to Lower Austria
Vienna Airport is also an important gateway to Lower Austria. Private transfers can be arranged to towns, hotels, wineries, business locations and rural addresses throughout the surrounding region.
Destinations may include Baden bei Wien, Wiener Neustadt, Krems, the Wachau Valley and numerous smaller communities that require additional connections when using public transport.
A private vehicle allows passengers to travel directly from the airport without returning to central Vienna or changing between several modes of transportation.
Why Pre-Book a Transfer from Vienna Airport?
Vienna has excellent public transportation, and trains are often an efficient way to reach the city centre. A private transfer is not intended to replace every alternative, but it offers several advantages when convenience and door-to-door travel are priorities.
The vehicle can be selected according to passenger and luggage requirements before the flight. There is no need to navigate railway stations with suitcases, find a taxi after reaching Vienna or arrange several vehicles for a larger group.
For international visitors, requesting an English-speaking driver can also make communication easier. Private transfers are particularly suitable for families, corporate travellers, groups, late arrivals and passengers continuing directly to regional or international destinations.
English-Speaking Drivers at Vienna Airport
English-speaking drivers can be requested for WelcomeTaxi airport transfers and chauffeur bookings in Vienna. This is useful for international passengers who prefer to communicate in English when confirming their destination or discussing a planned itinerary.
For business travellers, an English-speaking chauffeur can be especially convenient when transportation is required between several meetings or venues during the day.
Useful Information for Travellers
Vienna Airport has several terminal areas, and airlines use different check-in zones. Passengers travelling to the airport should always confirm their airline's current check-in information before departure.
When booking a private transfer, provide accurate flight details, the number of passengers and realistic luggage requirements. Groups travelling with large suitcases, ski equipment or other oversized items should select a vehicle with sufficient capacity.
Journey times between Vienna Airport and the city depend on road conditions and the final destination. Additional time should be allowed during busy periods, particularly when travelling back to the airport for a departing flight.
Whether you are travelling from VIE to central Vienna, continuing to another Austrian city or arranging an international transfer to Bratislava or Budapest, WelcomeTaxi provides pre-booked private transfers and chauffeur services tailored to your itinerary.
