Frequently Asked Questions

How far in advance should I book a ride?

We recommend booking your transfer or hourly hire service at least 72 hours in advance. If you don’t have that much time, you can request an urgent transfer — we’ll let you know as soon as possible whether we can confirm it.

What pick-up time should I specify for the transfer?

If your transfer starts from an airport or railway station, please specify your flight or train arrival time as the start of your transfer. This helps the driver organize the meeting more accurately.

If your transfer starts from a hotel to an airport, please indicate the time you wish to be picked up at reception. You’ll need to calculate it yourself, allowing extra time for check-in. We recommend adding about 3 hours before your flight’s departure. For example, if your flight leaves at 14:00 and the trip takes 1 hour, your pick-up time should be 10:00.

How do I know if my order has been accepted?

After submitting your booking, you’ll receive an email with all trip details and your order status as “Waiting”. Once we receive and confirm your payment, the status will change to “Accepted”, and you’ll receive another email confirmation.

If you don’t receive the confirmation email, please contact our support team at office@welcome.taxi.

How do I change my booking?

To make changes to your booking, please contact our support team at office@welcome.taxi.

Important note: Requests for changes made less than 72 hours before your trip may be declined.

How can I cancel my booking?

You can cancel your booking in two ways:

  1. Via the booking page on our website — use the cancellation number provided in your booking voucher, at least 72 hours before the trip.
  2. By contacting our support team if it’s less than 72 hours before your ride.
Important note: In case of urgent cancellation, we may not be able to refund your deposit. The free cancellation period is stated in your confirmation email.
What should I do if my flight is delayed?

If your flight is delayed by less than 30 minutes, the driver will adjust their arrival time automatically.

If the delay is longer, please inform the driver directly (their phone number is in your confirmation voucher) or contact WelcomeTaxi Customer Support at office@welcome.taxi. Please include your order number and the new arrival time.

Important note: The driver may charge an additional fee for extended waiting time.

How will I find my driver?

For airport transfers, if you’ve added the meet-and-greet option to your order, the driver will meet you in the arrivals area — right after passport control and baggage claim. You’ll see a name sign with your first and last names (or custom text, if specified in your booking).

Important note: We strongly recommend adding the meet-and-greet option to your airport transfer booking.

For hotel pickups, the driver will wait for you in the hotel lobby. Detailed meeting instructions and your driver’s contact number are provided in your booking confirmation voucher.

How can I be sure that my driver will pick me up?

WelcomeTaxi guarantees that your driver will do their best to meet you on time.

Both you and the driver will have each other’s phone or WhatsApp number. Please keep your mobile phone switched on at the time of pickup. If you can’t reach the driver, contact our support team immediately.

I can’t find my driver. What should I do?

If you can’t find your driver, please double-check the name signs again — the driver may have missed you in the crowd.

Try calling or messaging the driver via WhatsApp. If there’s no response within the meeting time, contact our support team.

If necessary, go to the airport’s Information Desk to arrange a local taxi to your destination.

Important note: If the driver fails to meet you, we will refund your payment.

Airport Transfers and Chauffeur Service in Vienna

Vienna, the capital of Austria, is one of Central Europe’s most important cultural, business and transport centres. Known for its imperial architecture, classical music heritage, museums and elegant historic districts, the city attracts leisure travellers, corporate visitors and international conference delegates throughout the year.

WelcomeTaxi provides pre-booked private transfers and chauffeur services in Vienna for travellers who prefer to arrange their transportation in advance. Services can include airport pickups, hotel transfers, point-to-point journeys, hourly chauffeur hire and long-distance transportation to destinations elsewhere in Austria and neighbouring countries.

Vienna International Airport Transfers

Vienna International Airport (VIE) is the main airport serving the Austrian capital and the principal international aviation gateway for eastern Austria. Located outside the city centre near Schwechat, it has convenient road connections with Vienna and the wider region.

A pre-booked private transfer from Vienna Airport provides direct transportation from the airport to a hotel, apartment, business address or other destination. Instead of looking for a taxi after landing or travelling with luggage on public transport, passengers have a vehicle arranged specifically for their journey.

Airport transfers can be booked to destinations throughout central Vienna as well as districts outside the historic centre. They are particularly convenient for families, business travellers, passengers with substantial luggage and groups who need a larger vehicle.

Pickup from Vienna Airport

For an airport pickup, passengers should provide their flight information when making a booking. This helps coordinate the service with the scheduled arrival and makes the transfer easier to organise. Depending on the selected service and local arrangements, meet-and-greet airport pickup can also be available.

Transfers in the opposite direction can be arranged from hotels, residences and business addresses to Vienna International Airport. As traffic conditions can affect journey times, passengers should allow an appropriate margin before their flight departure.

Private Transfers Around Vienna

Vienna has an extensive public transport system, but private transportation remains useful when passengers want a direct journey between two addresses without connections. This is especially practical for airport journeys, early departures, business appointments, families with luggage and travellers moving between hotels or event venues.

Central Vienna includes many of the city’s best-known hotels, attractions and commercial areas, while important residential, business and entertainment districts extend well beyond the historic Innere Stadt. A pre-booked car can provide convenient door-to-door transportation across the city without the need to navigate unfamiliar local transport routes.

WelcomeTaxi transfers are arranged before travel rather than hailed on the street. Passengers can specify their pickup point, destination, number of travellers and vehicle requirements in advance.

Vienna Chauffeur Service for Business and Leisure

Vienna is a major international business and diplomatic centre, making chauffeur service particularly useful for corporate travellers. A private vehicle can be arranged for meetings, conferences, diplomatic appointments, exhibitions and visits to several locations during the same day.

Hourly chauffeur hire is also suitable for leisure travellers who want greater flexibility. A car and driver can remain available for an agreed period while passengers visit museums, restaurants, shopping areas, hotels or other locations according to their own itinerary.

English-speaking drivers can be requested, making the service convenient for international visitors who prefer straightforward communication regarding pickups, destinations and travel arrangements.

Long-Distance Transfers from Vienna

Vienna’s position in eastern Austria makes it an excellent starting point for private long-distance travel both within Austria and across Central Europe. Pre-booked intercity transfers provide a direct alternative to trains, coaches and connecting local transportation, particularly when passengers are travelling with luggage or need door-to-door service.

Within Austria, private transfers can be arranged from Vienna to destinations such as Salzburg, Graz and Linz, as well as ski resorts, spa towns and smaller communities that may require additional connections when travelling by public transport.

Vienna is also particularly well positioned for international road transfers. Bratislava is close enough for convenient private transportation, while Budapest and destinations in the Czech Republic, Slovakia and Hungary can also be reached by road. Cross-border chauffeur service can be useful for business travellers, families and visitors combining several Central European cities in one itinerary.

Vienna to Bratislava Transfers

Vienna and Bratislava are two neighbouring European capitals with frequent travel between them. A private transfer offers direct transportation from an address in Vienna to a hotel, office or other destination in Bratislava without the need to travel first to a railway or bus station.

Bratislava Airport (BTS) can also be relevant for some travellers staying in Vienna. A pre-booked transfer between Vienna and Bratislava Airport provides a convenient option when a suitable flight operates from BTS rather than Vienna International Airport.

Private Transfer or Regular Taxi in Vienna?

Regular taxis are readily available in Vienna and are practical for spontaneous journeys within the city. A pre-booked private transfer is better suited to trips where the time, route and passenger requirements are already known.

For airport transportation, the vehicle can be arranged before the passenger arrives. For larger groups, travellers can select an appropriate vehicle rather than searching for several taxis. Long-distance journeys can also be planned in advance instead of negotiating an intercity trip after pickup.

Pre-booking is particularly useful when travelling early in the morning, arriving on an international flight, carrying several suitcases or continuing directly from the airport to another city.

Getting Around Vienna

Vienna is divided into 23 districts. The historic centre, or Innere Stadt, contains many major landmarks, luxury hotels and business addresses. Popular visitor areas also extend into neighbouring districts, including locations around the Ringstrasse, Prater, Belvedere and Schönbrunn.

Public transport is excellent for many everyday journeys, but a chauffeur-driven vehicle can be preferable when an itinerary includes multiple stops or when travellers value door-to-door convenience. This is particularly useful during business schedules where several appointments must be reached within a limited period.

For sightseeing, hourly chauffeur service allows visitors to create a flexible programme rather than booking separate transfers for each stop. It can also be combined with journeys outside central Vienna to attractions and destinations in the surrounding region.

Regional Travel from Vienna

Vienna provides easy road access to Lower Austria and the wider Danube region. Private transfers can be used for journeys to destinations such as the Wachau Valley, Baden, Melk and other towns, wineries and cultural attractions outside the capital.

For travellers continuing farther across Austria or Central Europe, a long-distance private car provides a straightforward door-to-door journey. There is no need to transfer luggage between trains, find onward taxis or coordinate several separate tickets.

Whether the requirement is a Vienna Airport transfer, a chauffeur for business meetings, hourly transportation around the city or a long-distance journey to another destination in Austria or abroad, pre-booking provides a convenient way to organise private transportation before travel.
