Frequently Asked Questions

How far in advance should I book a ride?

We recommend booking your transfer or hourly hire service at least 72 hours in advance. If you don’t have that much time, you can request an urgent transfer — we’ll let you know as soon as possible whether we can confirm it.

What pick-up time should I specify for the transfer?

If your transfer starts from an airport or railway station, please specify your flight or train arrival time as the start of your transfer. This helps the driver organize the meeting more accurately.

If your transfer starts from a hotel to an airport, please indicate the time you wish to be picked up at reception. You’ll need to calculate it yourself, allowing extra time for check-in. We recommend adding about 3 hours before your flight’s departure. For example, if your flight leaves at 14:00 and the trip takes 1 hour, your pick-up time should be 10:00.

How do I know if my order has been accepted?

After submitting your booking, you’ll receive an email with all trip details and your order status as “Waiting”. Once we receive and confirm your payment, the status will change to “Accepted”, and you’ll receive another email confirmation.

If you don’t receive the confirmation email, please contact our support team at office@welcome.taxi.

How do I change my booking?

To make changes to your booking, please contact our support team at office@welcome.taxi.

Important note: Requests for changes made less than 72 hours before your trip may be declined.

How can I cancel my booking?

You can cancel your booking in two ways:

  1. Via the booking page on our website — use the cancellation number provided in your booking voucher, at least 72 hours before the trip.
  2. By contacting our support team if it’s less than 72 hours before your ride.
    Important note: In case of urgent cancellation, we may not be able to refund your deposit. The free cancellation period is stated in your confirmation email.
What should I do if my flight is delayed?

If your flight is delayed by less than 30 minutes, the driver will adjust their arrival time automatically.

If the delay is longer, please inform the driver directly (their phone number is in your confirmation voucher) or contact WelcomeTaxi Customer Support at office@welcome.taxi. Please include your order number and the new arrival time.

Important note: The driver may charge an additional fee for extended waiting time.

How will I find my driver?

For airport transfers, if you’ve added the meet-and-greet option to your order, the driver will meet you in the arrivals area — right after passport control and baggage claim. You’ll see a name sign with your first and last names (or custom text, if specified in your booking).

Important note: We strongly recommend adding the meet-and-greet option to your airport transfer booking.

For hotel pickups, the driver will wait for you in the hotel lobby. Detailed meeting instructions and your driver’s contact number are provided in your booking confirmation voucher.

How can I be sure that my driver will pick me up?

WelcomeTaxi guarantees that your driver will do their best to meet you on time.

Both you and the driver will have each other’s phone or WhatsApp number. Please keep your mobile phone switched on at the time of pickup. If you can’t reach the driver, contact our support team immediately.

I can’t find my driver. What should I do?

If you can’t find your driver, please double-check the name signs again — the driver may have missed you in the crowd.

Try calling or messaging the driver via WhatsApp. If there’s no response within the meeting time, contact our support team.

If necessary, go to the airport’s Information Desk to arrange a local taxi to your destination.

Important note: If the driver fails to meet you, we will refund your payment.

Airport Transfers and Chauffeur Service from Warsaw Chopin Airport

Warsaw Chopin Airport (WAW) is the principal international airport serving Warsaw and the busiest passenger airport in Poland. Located within the city, approximately eight kilometres southwest of central Warsaw, it provides convenient access to hotels, offices, railway stations, conference venues and residential districts throughout the capital.

The airport operates from a single integrated passenger complex known as Terminal A. Arrivals, departures, ground transportation and access to the underground railway station are all located within the same terminal area, although passengers should still provide their airline and flight number when booking a pickup.

WelcomeTaxi provides pre-booked private airport transfers from Warsaw Chopin Airport to destinations throughout Warsaw and the surrounding Mazovia region. Chauffeur service and long-distance transfers can also be arranged to other Polish cities, regional airports and cross-border destinations.

Getting from Warsaw Chopin Airport to the City Centre

Passengers arriving at WAW can choose between a private transfer, train, public bus, airport taxi, ride-hailing service or rental car. Because the airport is located within Warsaw, the drive to the city centre can be relatively short outside peak traffic periods. Journey times may increase considerably during weekday mornings and evenings.

Pre-Booked Private Airport Transfer

A private airport transfer provides direct transportation from the terminal to a hotel, apartment, office or private address. The vehicle is reserved exclusively for the booked party, without shared passengers or scheduled intermediate stops.

This option is particularly convenient for families, business travellers, groups and passengers carrying several suitcases. Advance booking allows the required vehicle category to be selected according to the number of passengers and luggage.

The pickup arrangements and complete destination are recorded before arrival. Passengers therefore do not need to wait at a taxi rank, compare vehicle sizes or navigate public transport immediately after landing.

Airport Trains

Warsaw Chopin Airport has an underground railway station connected directly to the terminal. Urban and regional trains link the airport with central Warsaw and several important transport hubs.

Depending on the service, passengers can travel towards Warszawa Centralna, Warszawa Śródmieście, Warszawa Zachodnia and Warszawa Wschodnia. These stations provide connections to intercity trains serving destinations throughout Poland.

Rail travel is economical and practical for passengers with light luggage whose accommodation is close to a station. Travellers staying in another district may need to continue by metro, tram, bus or taxi.

Public Buses

Daytime and night buses connect Warsaw Chopin Airport with the city centre and surrounding districts. Public transport can be suitable for individual travellers with limited luggage and flexible schedules.

Buses are affected by road traffic and may become crowded. Reaching a hotel or private address can also require a change to another service, particularly when the destination is outside a direct airport route.

Airport Taxis

Authorised taxis are available from the designated rank outside the terminal. A regular airport taxi can provide convenient door-to-door transportation for a straightforward journey within Warsaw.

Passengers should use the official taxi arrangements rather than accepting unsolicited transport offers inside the terminal. The available vehicle may not always provide sufficient luggage space for a family or larger group.

A pre-booked transfer is usually preferable when passengers require a minivan, child seats, an English-speaking driver or direct transportation to another city.

Ride-Hailing Services

App-based ride-hailing services operate throughout Warsaw and use specified pickup areas at the airport. They may be practical for passengers with mobile internet access and a working payment method.

Waiting times and prices can vary according to demand. Travellers should check the selected vehicle category carefully, as a standard car may not accommodate several passengers with large suitcases.

Car Rental

Car rental is available for visitors planning an independent journey through Poland. A rental vehicle can be useful for rural destinations, multi-city itineraries and locations outside the main rail network.

For a short stay in central Warsaw, renting a car may be unnecessary. The city has extensive public transportation, while central parking, traffic and regulated zones can make driving inconvenient.

Why Pre-Book a Transfer from WAW?

Warsaw has a well-developed transport network, but a pre-booked transfer offers greater convenience and predictability. The vehicle, pickup arrangements and destination are organised before the passenger arrives.

A private transfer is especially useful when:

  • your flight arrives late at night or early in the morning;
  • you are travelling with children or elderly passengers;
  • you have several suitcases or oversized luggage;
  • your party requires a minivan, van or minibus;
  • you need transportation to Warsaw Modlin Airport;
  • you prefer an English-speaking driver;
  • you have an important meeting or onward connection.

Unlike public transportation, a private transfer takes passengers directly to the booked address. Unlike a taxi selected after arrival, the vehicle can be matched in advance to the stated passenger and luggage requirements.

Transfers to Warsaw Hotels and Districts

WelcomeTaxi provides airport transfers to accommodation throughout Warsaw. Common destinations include Śródmieście, the Old Town, Wola, Mokotów, Żoliborz, Praga, Ochota, Ursynów and Wilanów.

The city centre contains major international hotels, government institutions, offices and cultural attractions. Mokotów and Wola are important business districts, while Praga and the riverfront areas contain a growing selection of hotels, apartments and event venues.

Some streets near the Old Town are pedestrianised or subject to vehicle restrictions. Where direct access to an accommodation entrance is impossible, the driver will use the nearest safe and legally permitted stopping point.

Passengers staying in a private apartment should provide the complete address, building number and any access instructions supplied by the host.

Transfers to Warsaw Railway and Bus Stations

Private transfers can be arranged between Warsaw Chopin Airport and the city’s principal railway stations, including Warszawa Centralna, Warszawa Zachodnia and Warszawa Wschodnia.

Warsaw Central Station is the main rail hub for many domestic and international services. Warszawa Zachodnia also serves trains and long-distance coaches, while Warszawa Wschodnia is convenient for parts of eastern Warsaw.

A private vehicle is helpful when passengers have several bags, limited time or a separately booked onward journey. The train number, departure time and correct station should be provided when booking.

Transfers Between Warsaw Chopin and Modlin Airports

Warsaw has two principal passenger airports. Warsaw Chopin Airport serves most international and domestic traffic, while Warsaw Modlin Airport (WMI) is located approximately 40 kilometres north of central Warsaw and is widely used by low-cost airlines.

Passengers with separately booked flights may occasionally need to transfer between WAW and WMI. The airports are not connected by a direct internal transit system, and travellers must collect their luggage, leave the first airport and travel by road or public transport to the second.

A private airport-to-airport transfer provides direct transportation without changing between a train and shuttle bus. This is particularly useful for families, groups and travellers carrying checked luggage.

Travel time depends heavily on traffic. Passengers should allow a substantial margin for baggage collection, the road journey, check-in and security procedures. Tight self-connections between the two airports carry a significant risk of a missed flight.

Chauffeur Service in Warsaw

WelcomeTaxi’s chauffeur service is available for business meetings, conferences, official visits, private events and sightseeing. A vehicle with a driver can be booked for a single journey or for an agreed number of hours.

Hourly chauffeur hire is useful when an itinerary includes several addresses. A business schedule may involve Warsaw Chopin Airport, the city centre, Wola, Mokotów, government offices, embassies and conference venues.

A sightseeing itinerary may include the Old Town, Royal Castle, Łazienki Park, Wilanów Palace, the Palace of Culture and Science and the Vistula riverfront. The driver provides transportation between locations and remains available during the reserved period, subject to the agreed mileage and parking arrangements.

An English-speaking driver can be requested, subject to availability. Chauffeur service provides professional transportation rather than a guided tour, so visitors requiring historical commentary should arrange a licensed guide separately.

Transfers to Warsaw Convention and Event Venues

Warsaw hosts major conferences, exhibitions, sporting events and concerts throughout the year. Private transfers can be arranged to EXPO XXI, PGE Narodowy, the Palace of Culture and Science, conference hotels and other venues across the capital.

Group transportation can include airport pickups, hotel transfers and scheduled journeys between several venues. Accurate passenger numbers and event timings are essential when coordinating several vehicles or a larger bus.

Road closures and heavy traffic may occur during concerts, football matches, state visits and major public events. Additional travel time should be included in the itinerary.

Long-Distance Transfers from Warsaw Chopin Airport

Warsaw’s central location and extensive road network make WAW a practical starting point for private travel throughout Poland. WelcomeTaxi can arrange direct long-distance transportation from the airport to hotels, residences, business facilities and regional destinations.

Łódź

Łódź is one of the closest major cities to Warsaw and an important centre for business, education, film and cultural events. A private transfer offers door-to-door transportation without travelling from the airport to a central railway station first.

Lublin

Private transfers are available to Lublin, its hotels, universities, business districts and surrounding region. This option can be convenient for passengers arriving late or travelling to an address outside the city centre.

Kraków

Long-distance transfers can be arranged from Warsaw Chopin Airport to Kraków. High-speed and intercity trains may be faster for some travellers, but a private vehicle provides direct travel and can be practical for families, groups or passengers requiring additional stops.

Gdańsk and the Baltic Coast

Transfers may be requested to Gdańsk, Gdynia, Sopot and other Baltic destinations. These journeys cover a substantial distance, so passengers should allow time for comfort and refreshment stops.

Poznań and Wrocław

WelcomeTaxi can also arrange direct transportation from WAW to Poznań, Wrocław and other major Polish cities. A private transfer can be useful for business delegations, groups with extensive luggage and travellers whose destination is not close to a railway station.

Białystok and Eastern Poland

Private transfers are available east towards Białystok and other destinations in the Podlaskie region. The complete address should be supplied, particularly for rural hotels, private properties and locations outside major towns.

Warsaw Radom Airport and Regional Connections

Warsaw Radom Airport (RDO) is located near Radom, considerably farther from central Warsaw than either Chopin or Modlin Airport. It serves selected passenger routes and may be relevant to travellers whose flights use different airports in the wider region.

Private transfers can be arranged between WAW, RDO and addresses in Radom. Passengers making an airport-to-airport connection should allow a generous time margin because the airports are separated by a substantial road journey.

Vehicles for Individuals, Families and Groups

A private car is generally suitable for one to three passengers with standard luggage. Families and small groups may require a minivan or van, while larger parties can request minibuses, coaches or several coordinated vehicles.

The suitcase count must be stated accurately. A vehicle may provide enough seats but insufficient luggage space when every traveller carries a large case.

Wheelchairs, bicycles, musical instruments, child seats and oversized equipment should be declared before booking. This allows an appropriate vehicle to be selected and reduces the risk of delays at pickup.

Useful Travel Information for Warsaw

Polish is the official language, while English is widely spoken in international hotels, airports and tourism-related businesses. English proficiency among drivers varies, so passengers who consider it essential should request an English-speaking driver when booking.

Warsaw has an extensive network of metro lines, trams, buses and suburban trains. Public transportation is effective for local journeys, while a private vehicle is often more convenient for airport travel, business schedules and destinations outside the city.

Poland uses the Polish złoty. Card and contactless payments are widely accepted, although carrying a small amount of local currency can still be useful.

Winters can bring snow, ice and difficult road conditions. Summer roadworks, weekday traffic and major events may also increase journey times. Passengers travelling to an airport or railway station should allow sufficient time.
