Frequently Asked Questions

How far in advance should I book a ride?

We recommend booking your transfer or hourly hire service at least 72 hours in advance. If you don’t have that much time, you can request an urgent transfer — we’ll let you know as soon as possible whether we can confirm it.

What pick-up time should I specify for the transfer?

If your transfer starts from an airport or railway station, please specify your flight or train arrival time as the start of your transfer. This helps the driver organize the meeting more accurately.

If your transfer starts from a hotel to an airport, please indicate the time you wish to be picked up at reception. You’ll need to calculate it yourself, allowing extra time for check-in. We recommend adding about 3 hours before your flight’s departure. For example, if your flight leaves at 14:00 and the trip takes 1 hour, your pick-up time should be 10:00.

How do I know if my order has been accepted?

After submitting your booking, you’ll receive an email with all trip details and your order status as “Waiting”. Once we receive and confirm your payment, the status will change to “Accepted”, and you’ll receive another email confirmation.

If you don’t receive the confirmation email, please contact our support team at office@welcome.taxi.

How do I change my booking?

To make changes to your booking, please contact our support team at office@welcome.taxi.

Important note: Requests for changes made less than 72 hours before your trip may be declined.

How can I cancel my booking?

You can cancel your booking in two ways:

  1. Via the booking page on our website — use the cancellation number provided in your booking voucher, at least 72 hours before the trip.
  2. By contacting our support team if it’s less than 72 hours before your ride.
Important note: In case of urgent cancellation, we may not be able to refund your deposit. The free cancellation period is stated in your confirmation email.
What should I do if my flight is delayed?

If your flight is delayed by less than 30 minutes, the driver will adjust their arrival time automatically.

If the delay is longer, please inform the driver directly (their phone number is in your confirmation voucher) or contact WelcomeTaxi Customer Support at office@welcome.taxi. Please include your order number and the new arrival time.

Important note: The driver may charge an additional fee for extended waiting time.

How will I find my driver?

For airport transfers, if you’ve added the meet-and-greet option to your order, the driver will meet you in the arrivals area — right after passport control and baggage claim. You’ll see a name sign with your first and last names (or custom text, if specified in your booking).

Important note: We strongly recommend adding the meet-and-greet option to your airport transfer booking.

For hotel pickups, the driver will wait for you in the hotel lobby. Detailed meeting instructions and your driver’s contact number are provided in your booking confirmation voucher.

How can I be sure that my driver will pick me up?

WelcomeTaxi guarantees that your driver will do their best to meet you on time.

Both you and the driver will have each other’s phone or WhatsApp number. Please keep your mobile phone switched on at the time of pickup. If you can’t reach the driver, contact our support team immediately.

I can’t find my driver. What should I do?

If you can’t find your driver, please double-check the name signs again — the driver may have missed you in the crowd.

Try calling or messaging the driver via WhatsApp. If there’s no response within the meeting time, contact our support team.

If necessary, go to the airport’s Information Desk to arrange a local taxi to your destination.

Important note: If the driver fails to meet you, we will refund your payment.

Airport Transfers and Chauffeur Service from Kansai International Airport

Kansai International Airport (KIX) is the main international airport serving Osaka and one of the most important gateways to western Japan. Located on an artificial island in Osaka Bay, the airport handles international and domestic flights and is widely used by travellers arriving in Osaka, Kyoto, Kobe, Nara, Wakayama and other destinations in the Kansai region. For visitors coming to Japan for the first time, KIX is often the starting point for a trip that includes several cities, hotels, train stations and sightseeing stops.

WelcomeTaxi provides private transfers from Kansai International Airport to Osaka and beyond. Instead of looking for a regular taxi after landing or navigating the rail network with luggage, you can book a private car, van or minibus in advance and travel directly to your hotel, apartment, business address, cruise port or railway station. This is especially convenient after a long international flight, when you want a predictable pickup, a fixed route and a comfortable ride without unnecessary transfers.

About Kansai International Airport

Kansai International Airport is one of Japan’s most recognizable airports due to its offshore location and large passenger terminals. The airport is connected with Osaka and the wider Kansai area by train, limousine bus, taxi, rental car and private transfer services. Terminal 1 is used by many full-service international and domestic airlines, while Terminal 2 is associated mainly with low-cost carriers. Passengers should always check the arrival terminal before arranging a pickup, as the distance between terminals can affect meeting instructions.

The airport serves Osaka, but it is also a practical arrival point for Kyoto, Kobe and Nara. Many international visitors choose KIX because it gives access not only to Osaka’s entertainment districts, food scene and business areas, but also to historic Kyoto, the temples of Nara, the port city of Kobe and the wider Kansai travel circuit. For this reason, airport transfers from KIX are often more than a simple ride into the city; they can be the first part of a longer regional itinerary.

Transportation Options from KIX to Osaka

Travellers arriving at Kansai International Airport have several ways to reach Osaka. Trains are popular, especially for passengers going to major stations such as Namba, Tennoji, Osaka Station or Shin-Osaka. The rail system is efficient, but it may require choosing the correct line, buying tickets, changing trains or walking through large stations with luggage. For experienced travellers or those with light bags, this can be a cost-effective option.

Airport limousine buses connect KIX with many hotels, stations and districts in Osaka and other cities. They are useful when the stop is close to your hotel, but journey times depend on the route, traffic and timetable. If your flight arrives late, if you miss a departure, or if your accommodation is not near a bus stop, the trip may still end with an additional taxi ride.

Regular airport taxis are available, but they may be expensive for longer routes and less predictable for visitors who do not speak Japanese. The total cost can vary depending on distance, road conditions, tolls and waiting time. For families, business travellers and groups, a pre-booked private transfer is often more comfortable and easier to manage.

Private Airport Transfers from KIX to Osaka

A private transfer from Kansai International Airport gives you a direct door-to-door journey from the terminal to your destination. Your driver meets you according to the agreed pickup details and takes you to your hotel, apartment, office, event venue or another address without intermediate stops unless requested in advance. This is a practical option for travellers staying in Namba, Umeda, Shinsaibashi, Dotonbori, Osaka Castle area, Universal Studios Japan, Shin-Osaka or the Osaka Bay area.

Private airport transfers are particularly useful when travelling with children, large suitcases, sports equipment or several passengers. Instead of splitting the group between taxis or managing luggage on trains, you can choose a vehicle that fits your party and travel together. WelcomeTaxi can arrange sedans, business cars, vans and minibuses depending on the number of passengers and bags.

For business arrivals, a pre-booked transfer from KIX helps keep the schedule under control. The driver can take you directly to a hotel, meeting venue, conference centre or corporate address, while you avoid the need to manage local transport immediately after arrival.

Chauffeur Service in Osaka and Kansai

WelcomeTaxi also offers chauffeur service for travellers who need more than a simple airport pickup. A private chauffeur in Osaka can be arranged for business meetings, hotel-to-office transfers, evening events, shopping trips, restaurant visits or multiple stops within the city. This is a convenient solution when you need flexible transport with a professional driver instead of separate taxi rides throughout the day.

Chauffeur service from Kansai International Airport can also be combined with regional travel. For example, passengers may arrive at KIX and continue directly to Kyoto, Kobe, Nara, Wakayama, Himeji or another destination in western Japan. For private tours, corporate delegations and family trips, a chauffeured vehicle can provide a more comfortable alternative to carrying luggage through busy stations and changing trains between cities.

English-speaking drivers are available on request where possible. This can make the arrival process easier for international travellers, especially when coordinating hotel addresses, meeting points, luggage, child seats or special travel requirements.

Long-Distance Transfers from Kansai International Airport

KIX is well positioned for long-distance transfers across the Kansai region and beyond. Many travellers use the airport as a gateway not only to Osaka, but also to Kyoto, Nara, Kobe, Himeji, Wakayama, Koyasan, Arima Onsen and other destinations. While Japan’s train network is excellent, private long-distance transfers are often more convenient for direct hotel-to-hotel travel, late arrivals, groups, elderly passengers or itineraries involving rural areas and resorts.

A private long-distance transfer from Kansai International Airport allows you to avoid multiple transport changes. This is especially valuable when travelling to traditional ryokan hotels, mountain areas, coastal resorts or addresses not located next to major train stations. The route can be planned in advance, and the vehicle can be selected according to the number of passengers and the amount of luggage.

For multi-city trips in Japan, WelcomeTaxi can also arrange transport between Osaka, Kyoto, Kobe, Nara and other regional destinations. This helps travellers keep their itinerary simple and comfortable, especially when moving with luggage between hotels.

Why Book a Pre-Booked Transfer Instead of a Regular Taxi

A regular taxi from Kansai International Airport can work for some passengers, but a pre-booked transfer offers several advantages. The price and route can be confirmed in advance, the vehicle type can be matched to your needs, and the pickup details are arranged before your flight arrives. This reduces stress at the airport and helps avoid uncertainty after landing.

For families and groups, pre-booking is especially important because not every taxi can accommodate several passengers and large luggage. With WelcomeTaxi, you can request a suitable vehicle in advance, including vans or minibuses for larger parties. Child seats, additional stops and special requirements can also be arranged before the trip when available.

A pre-booked airport transfer is also more convenient for passengers arriving late at night, travelling after a long-haul flight, or continuing to another city. Instead of checking timetables, waiting in queues or dealing with language barriers, you can go directly from the arrival area to your destination.

Local Transportation Specifics for Osaka

Osaka has an excellent public transport system, but it can be complex for first-time visitors. Major stations such as Namba, Umeda, Osaka Station and Shin-Osaka are large and busy, with multiple lines, exits, ticket types and underground passages. This is manageable for light travellers, but less convenient with heavy luggage, children or a tight schedule.

Kansai International Airport is located outside central Osaka, so travel time depends on the final destination and traffic conditions. Namba and southern Osaka are generally easier to reach than some northern districts, while trips to Kyoto, Kobe or Nara require longer travel times and careful route planning. For hotel arrivals, cruise connections, business meetings or private itineraries, direct car service can be the most comfortable solution.

Useful Travel Information for Arrivals at KIX

When booking a private transfer from Kansai International Airport, it is helpful to provide your flight number, arrival terminal, destination address, passenger count and luggage details. If you are travelling with children, oversized bags, ski equipment, golf bags or multiple suitcases, this should be mentioned in advance so that the correct vehicle can be arranged.

Passengers should also consider whether they need a simple airport-to-hotel transfer or a longer chauffeur service with stops. For example, some travellers arrive at KIX and go directly to Kyoto, while others stop in Osaka for sightseeing before continuing to another city. WelcomeTaxi can assist with both standard airport transfers and custom long-distance routes.

Whether you are visiting Japan for business, a family holiday, a cruise, a cultural trip or a multi-city itinerary, a private transfer from Kansai International Airport offers a comfortable and reliable start to your journey. With professional drivers, pre-booked vehicles and service across Osaka and the Kansai region, WelcomeTaxi helps make airport arrivals and regional travel easier for international visitors.
