Frequently Asked Questions

How far in advance should I book a ride?

We recommend booking your transfer or hourly hire service at least 72 hours in advance. If you don’t have that much time, you can request an urgent transfer — we’ll let you know as soon as possible whether we can confirm it.

What pick-up time should I specify for the transfer?

If your transfer starts from an airport or railway station, please specify your flight or train arrival time as the start of your transfer. This helps the driver organize the meeting more accurately.

If your transfer starts from a hotel to an airport, please indicate the time you wish to be picked up at reception. You’ll need to calculate it yourself, allowing extra time for check-in. We recommend adding about 3 hours before your flight’s departure. For example, if your flight leaves at 14:00 and the trip takes 1 hour, your pick-up time should be 10:00.

How do I know if my order has been accepted?

After submitting your booking, you’ll receive an email with all trip details and your order status as “Waiting”. Once we receive and confirm your payment, the status will change to “Accepted”, and you’ll receive another email confirmation.

If you don’t receive the confirmation email, please contact our support team at office@welcome.taxi.

How do I change my booking?

To make changes to your booking, please contact our support team at office@welcome.taxi.

Important note: Requests for changes made less than 72 hours before your trip may be declined.

How can I cancel my booking?

You can cancel your booking in two ways:

  1. Via the booking page on our website — use the cancellation number provided in your booking voucher, at least 72 hours before the trip.
  2. By contacting our support team if it’s less than 72 hours before your ride.
Important note: In case of urgent cancellation, we may not be able to refund your deposit. The free cancellation period is stated in your confirmation email.
What should I do if my flight is delayed?

If your flight is delayed by less than 30 minutes, the driver will adjust their arrival time automatically.

If the delay is longer, please inform the driver directly (their phone number is in your confirmation voucher) or contact WelcomeTaxi Customer Support at office@welcome.taxi. Please include your order number and the new arrival time.

Important note: The driver may charge an additional fee for extended waiting time.

How will I find my driver?

For airport transfers, if you’ve added the meet-and-greet option to your order, the driver will meet you in the arrivals area — right after passport control and baggage claim. You’ll see a name sign with your first and last names (or custom text, if specified in your booking).

Important note: We strongly recommend adding the meet-and-greet option to your airport transfer booking.

For hotel pickups, the driver will wait for you in the hotel lobby. Detailed meeting instructions and your driver’s contact number are provided in your booking confirmation voucher.

How can I be sure that my driver will pick me up?

WelcomeTaxi guarantees that your driver will do their best to meet you on time.

Both you and the driver will have each other’s phone or WhatsApp number. Please keep your mobile phone switched on at the time of pickup. If you can’t reach the driver, contact our support team immediately.

I can’t find my driver. What should I do?

If you can’t find your driver, please double-check the name signs again — the driver may have missed you in the crowd.

Try calling or messaging the driver via WhatsApp. If there’s no response within the meeting time, contact our support team.

If necessary, go to the airport’s Information Desk to arrange a local taxi to your destination.

Important note: If the driver fails to meet you, we will refund your payment.

Airport Transfers and Chauffeur-Driven Travel in Kraków

Kraków is one of Poland’s most visited cities and a major centre for tourism, education, business, conferences, and cultural events. Its medieval Old Town, Main Market Square, Wawel Castle, Kazimierz district, museums, restaurants, and convenient location in southern Poland attract visitors throughout the year.

WelcomeTaxi provides pre-booked private transfers and chauffeur services in Kraków for leisure and business travellers. Transportation can be arranged between airports, hotels, private residences, railway stations, offices, event venues, tourist attractions, and destinations outside the city.

Passengers can reserve a direct airport pickup, a city transfer, an hourly chauffeur-driven vehicle, or a long-distance journey to another region of Poland. Sedans, executive cars, minivans, vans, minibuses, and larger group vehicles are available according to local supply and the requirements of each booking.

Kraków Airport Transfers

Kraków John Paul II International Airport (KRK), also known as Kraków-Balice Airport, is the main airport serving the city. It is located west of central Kraków and offers convenient access to the Old Town, Kazimierz, Podgórze, Nowa Huta, business districts, hotels, and neighbouring towns.

A pre-booked airport transfer provides direct transportation from the terminal to the passenger’s requested address. The route, pickup time, vehicle category, passenger count, and luggage requirements are arranged before arrival, allowing travellers to avoid organising transport after their flight.

This service is particularly convenient for families, groups, business passengers, late-night arrivals, and travellers staying outside the city centre. It is also useful for passengers continuing directly from the airport to Wieliczka, Zakopane, Oświęcim, Katowice, or another regional destination.

Private Transfers from KRK Airport

With a private airport transfer, the reserved vehicle is used only by the passenger or travelling party. The journey operates directly to the confirmed destination without additional stops to collect unrelated travellers.

Small parties with standard luggage may choose a sedan, while families and groups can request a minivan, van, minibus, or coach. Executive vehicles are available for corporate clients, official visitors, conference delegates, and passengers who prefer a higher service category.

English-speaking drivers can be requested when booking. Although availability depends on the date, route, and vehicle category, advance notice makes it easier to assign an appropriate local provider.

Transfers to Kraków Airport

Departure transfers can be arranged from hotels, apartments, private residences, offices, railway stations, and other addresses throughout Kraków. Passengers should provide their flight departure time so that the pickup can be planned with a suitable margin for traffic, check-in, and airport security.

Road conditions are usually straightforward, but journey times can increase during weekday commuting periods, holiday weekends, major events, and roadworks. Travellers staying in pedestrian areas should also consider that the vehicle may need to collect them from the nearest accessible street.

Transfers from Katowice Airport to Kraków

Katowice Airport (KTW), located at Pyrzowice, is another relevant airport for travellers visiting Kraków. It serves numerous scheduled and low-cost flights and may offer convenient connections that are unavailable at KRK.

KTW is considerably farther from Kraków than the city’s primary airport. Reaching Kraków by public transport may involve a direct coach or a combination of bus and rail services. A private transfer offers direct door-to-door travel from the terminal to a hotel, residence, or business address in Kraków.

Pre-booking is particularly useful for late arrivals, families with luggage, groups, and passengers whose accommodation is not close to Kraków’s central bus or railway stations. Transfers can also operate in the opposite direction from Kraków to Katowice Airport.

Transportation in Kraków

Kraków has an extensive public transport network based on trams and buses. The historic centre is compact and many of its main attractions are within walking distance, while public transportation provides access to outer districts such as Nowa Huta, Podgórze, Bronowice, and residential areas farther from the Old Town.

The best transport option depends on the passenger’s destination, luggage, group size, schedule, and familiarity with the city. Public transport is efficient for many local journeys, while private transfers and chauffeur services offer greater convenience for airport travel, multi-stop itineraries, business appointments, and regional excursions.

Airport Train

A rail connection operates between Kraków Airport and Kraków Główny, the city’s main railway station. The station is close to the Old Town and connected to the Galeria Krakowska shopping centre and the main bus terminal.

The train can be a practical option for passengers travelling with limited luggage and staying near the central station. However, travellers whose accommodation is elsewhere may still need to walk, use public transport, or take a taxi for the final part of the journey.

A private airport transfer provides a complete door-to-door service and avoids changing transport with suitcases. It can therefore be more suitable for families, groups, passengers with reduced mobility, and travellers arriving outside convenient rail operating hours.

Trams and Buses

Kraków’s trams form the backbone of local public transportation and connect the centre with many residential and commercial districts. Buses complement the tram network and serve neighbourhoods, suburban areas, the airport, and destinations without rail access.

Tickets are generally time-based and may allow transfers between services within their validity period. Visitors should check the required fare zone and validate or activate their ticket according to the current local system.

Public transport is ideal for independent sightseeing once travellers are settled in the city. It may be less practical for airport arrivals, large suitcases, child equipment, or itineraries involving several hotels and attractions in one day.

Taxis and Ride-Hailing Services

Regular taxis and app-based ride services operate throughout Kraków. They can be useful for short, spontaneous journeys within the city, particularly outside peak periods.

Passengers using an unreserved taxi should confirm that the vehicle belongs to a legitimate operator and understand how the fare will be calculated. Prices can vary according to traffic, time of day, demand, and the individual company’s tariff.

A pre-booked private transfer offers a confirmed service arranged for the specific route. Vehicle capacity, airport pickup procedures, luggage, additional stops, and special requirements can all be addressed before the journey.

Car Rental

Rental cars are available at Kraków Airport and throughout the city. They may be suitable for travellers planning an independent road trip through southern Poland.

Within central Kraków, however, driving is often unnecessary. The Old Town contains pedestrian areas and restricted-access streets, while parking can be limited and subject to local charges. Visitors should also consider congestion, one-way systems, environmental restrictions, and the parking arrangements at their accommodation.

For airport transfers, sightseeing excursions, and selected regional journeys, hiring a vehicle with a driver can provide flexibility without the responsibilities of self-driving.

Why Pre-Book a Private Transfer in Kraków?

Pre-booking allows the journey to be arranged before the passenger arrives. The pickup point, destination, travel date, vehicle category, passenger count, luggage, and special requirements can be confirmed as part of one reservation.

This provides greater predictability than finding an available taxi at the airport or railway station. It also ensures that the selected vehicle has sufficient capacity for the group and its luggage.

A reserved transfer is particularly valuable when travelling to an attraction or city outside Kraków. Long-distance routes should be priced and planned in advance rather than treated as ordinary metered taxi journeys.

Families may request child seats, subject to local availability, while groups can reserve one suitable vehicle instead of separating into several taxis. Corporate clients can coordinate transport for executives, employees, conference guests, and visiting partners.

Chauffeur Service in Kraków

WelcomeTaxi offers hourly chauffeur service for travellers who require a vehicle for several hours rather than a single direct journey. The driver remains available during the confirmed service period and follows the agreed itinerary.

Chauffeur hire is suitable for business meetings, hotel inspections, corporate roadshows, shopping, private events, weddings, restaurant visits, and sightseeing. It can also begin with an airport pickup and continue directly into a programme of meetings or activities.

Passengers should provide the expected service duration, approximate route, number of stops, passenger count, and any planned travel outside Kraków. This allows the correct vehicle and service conditions to be quoted.

Corporate and Executive Transportation

Kraków is an important Polish business centre with technology companies, shared-service operations, universities, conference facilities, and international organisations. Executive cars can be arranged for airport collections, meetings, corporate dinners, conferences, and multi-stop business schedules.

For larger delegations, several coordinated vehicles or a minibus may be more practical. Supplying flight details and a complete programme helps organise arrivals, hotel transfers, venue transportation, and return journeys.

Private Sightseeing in Kraków

Many central attractions are best explored on foot, particularly the Main Market Square, St Mary’s Basilica, the Cloth Hall, Planty Park, and the streets of the Old Town. Wawel Castle and the Kazimierz district are also within a relatively compact area.

A chauffeur-driven vehicle becomes more useful when the itinerary includes Nowa Huta, the Kościuszko Mound, the Krakus Mound, several museums, suburban hotels, or attractions outside the city. It is also convenient in poor weather, for families with small children, and for passengers with limited mobility.

Regional Transfers and Excursions from Kraków

Kraków is a convenient base for exploring Małopolska and other parts of southern Poland. Private transfers can be arranged as direct one-way journeys, return excursions with waiting time, or part of a multi-day itinerary.

The booking should clearly state whether the driver is expected to remain at the destination. A simple point-to-point transfer does not automatically include waiting during sightseeing.

Wieliczka Salt Mine

Wieliczka is one of the most popular destinations near Kraków. Its historic salt mine attracts visitors throughout the year and can be reached by public transport, train, taxi, or private vehicle.

A private transfer is convenient for passengers travelling directly from the airport, families, groups, and visitors with a fixed tour entry time. Return transportation can be arranged with an agreed collection time after the visit.

Oświęcim and Auschwitz-Birkenau

The Auschwitz-Birkenau Memorial and Museum near Oświęcim is a major destination for visitors staying in Kraków. Travel requires careful planning because admission procedures and tour times may be fixed.

Private transportation provides direct travel between a Kraków hotel and the visitor entrance. Passengers should reserve museum admission separately and allow sufficient time for security, guided visits, transfers between sites, and the return journey.

Zakopane and the Tatra Mountains

Zakopane is Poland’s best-known mountain resort and a popular destination for hiking, winter sports, regional culture, and holidays in the Tatra Mountains. The road from Kraków can become congested during weekends, public holidays, and the ski season.

A private transfer offers door-to-door transportation to hotels, chalets, resorts, and trail areas. Larger vehicles can be requested for passengers carrying ski equipment or additional luggage.

Nearby destinations may include Bukowina Tatrzańska, Białka Tatrzańska, Kościelisko, Chochołów, and thermal spa resorts. The complete itinerary should be included in the booking request.

Katowice and Upper Silesia

Private transfers between Kraków and Katowice are available for business travel, airport connections, concerts, conferences, and regional tourism. Journeys can continue to Gliwice, Zabrze, Tychy, Sosnowiec, or other destinations across Upper Silesia.

Passengers travelling to Katowice Airport should specify their flight departure time so that the pickup from Kraków can be planned with a suitable road and airport margin.

Long-Distance Transfers from Kraków

WelcomeTaxi can arrange direct long-distance transfers from Kraków to cities throughout Poland and neighbouring countries. These journeys remove the need to travel through railway or bus stations and are particularly useful for groups, passengers with substantial luggage, and travellers requiring hotel-to-hotel service.

Warsaw, Wrocław, and Rzeszów

Road transfers can be booked from Kraków to Warsaw, Wrocław, Rzeszów, Łódź, and other major Polish cities. Although rail connections may be faster for some routes, private transportation provides greater flexibility in departure time and direct access to the final address.

Long-distance service is useful when the itinerary begins or ends outside a city centre, involves several passengers, or includes intermediate stops. All stops should be stated in advance so that the complete route can be quoted correctly.

International Transfers

Kraków’s position in southern Poland makes international road travel possible to destinations in Slovakia, the Czech Republic, Germany, Austria, Hungary, and other neighbouring countries.

Common routes may include Bratislava, Košice, Ostrava, Brno, Vienna, Prague, and Budapest. Cross-border journeys require advance confirmation because vehicle permissions, road tolls, driver working hours, and local regulations may affect availability and pricing.

Passengers should provide passport and entry information appropriate to their nationality and destination. WelcomeTaxi arranges transportation but does not determine immigration eligibility or guarantee border entry.

Useful Travel Information for Kraków

The official currency is the Polish złoty. Bank cards are widely accepted in hotels, restaurants, shops, and many taxis, although passengers may still need cash for smaller purchases or local facilities.

Polish is the official language. English is commonly spoken in central hotels, tourism businesses, restaurants, and many international companies. An English-speaking driver can nevertheless be requested when booking airport or chauffeur services.

Kraków has warm summers and cold winters, with snow and freezing conditions possible during the colder months. Passengers travelling to mountain destinations should choose suitable clothing and allow additional time when roads are affected by winter weather.

The Old Town includes pedestrian and restricted-access streets. Hotels and apartments within these areas may not always be reachable directly by vehicle. Passengers should provide the full accommodation name and address so that the nearest practical pickup or drop-off point can be identified.

Booking Transfers and Chauffeur Services in Kraków

To request transportation, provide the travel date, pickup time, full pickup and destination addresses, passenger count, and luggage details. Airport bookings should also include the flight number and scheduled arrival or departure time.

For chauffeur service, include the expected duration and approximate itinerary. Long-distance requests should list all stops, cities, accommodation details, and the final destination.

Passengers requiring child seats, oversized luggage, several pickup points, wheelchair-accessible transportation, or a specific vehicle category should mention these requirements before confirmation. Special equipment and particular vehicles remain subject to local availability.

Whether the journey is a short transfer from KRK Airport, a chauffeur-driven day in Kraków, or a long-distance trip across Poland, advance booking provides a clear and comfortable transportation plan.
